A. It is often simpler to add extra information to the note fields (e.g., MARC tags 500, 505, or 520) than to add an analytic, although an analytic is indexed better. To add note fields, use the Cataloging function [Edit an Existing Bib], and then use the MARC Editor's [Add] for tag 5XX.
Why are analytics better indexed? The MARC 5XX subfields can be keyword indexed, but an analytic bib is more fully indexed and thus available for searching. The author names are added to the author authority file and indexed, as the title is added to the title authority file and indexed. The subjects are validated and indexed. Moreover the authors, title, and subjects are keyword indexed.
B. There is no need to add an analytic for a Monographic Series that does not require Serials Management. These items do not require analytics because the indexing tools automatically link monographic series to series titles when a Series Statement is present. Put the Series Statement in MARC tag 440 subfield and the volume number in subfield v.
You added more than one analytic to an Item. If you did not intend to create more than one analytic for an item, then go back to function [Analytic Linkage] and select your item. Focus on the extra analytic, then select [Remove Analytic Linkage] or press Shift F8. Select [Ok] when all the extras are removed. Then return to Serials Management to create an Item by checking in an individual issue. Each issue of a serial has a unique item number (unless the issues are bound together).
If you answer field Find By with a title or a bibliographic number (e.g., MARC#, ISBN, ISSN, Call#, etc.) and you see this message, then you probably specified your analytic bib by mistake. Instead enter the item number to which the analytic will be linked, or enter the primary bib's MARC# (the MARC# that the item is attached) and then select the appropriate item#. Finally use the the analytic bib's MARC# in the linkage section of the window, i.e., after the phrase "Bibs analytically linked to the item".
