2.15.1 Field 1 Function Keys


2.15.2 Field 2 Location Description:
40 characters, mandatory, tab stop


Purpose: To specify the Location description.


Format: Entry should be unique and is usually uppercase.


Discussion: As the location description is entered, there are two common approaches to defining locations. First, generic names could be created such as REFERENCE and GENERAL LOCATION. Second, descriptions may be created that designate physical locations such as SEVENTH FLOOR and EAST WING. Terms should be used that are familiar to the staff.


2.15.3 Field 3 Location Staff Display Name:
9 characters, mandatory, tab stop


Purpose: To specify the Location Staff Display Name.


Format: The entry may not exceed nine characters.


Discussion: This is the location name that will appear on windows typically used by the staff. Terms should be used that are familiar to staff with a length of nine characters or less. This name does not need to match the Location Description or the Public Catalog Display Name.


2.15.4 Field 4 OPAC Display:
20 characters, mandatory, tab stop


Purpose: To specify the Location Public Catalog Display Name.


Format: The entry may not exceed nine characters.


Discussion: This is the location name that will appear on the windows for all public access functions. The length of this name should be nine characters or less. This name does not need to match the Location Description or the Staff Display Name.


This field's standard length is 9 characters. For some libraries, this is too small. Text greater than 9 can be used, but it will run into the Call Number column in the OPAC Detail display. If the item has a Call Number, then it will start on the next line down. Note that this is usually not a problem because most items use the catalog's Call Number, therefore, the item's Call Number is blank:

2.15.5 Field 5 Short Name for Spine Label:
9 characters, tab stop


Purpose: To specify the short name that could be printed on a spine label and/or pocket label.


Format: It is any text, but it should be very short.


2.15.6 Field 6 Conversion Synonyms:
30 characters, multiple, tab stop


Purpose: this repeating field lists all of the synonyms for this location that might occur during a conversion.


Format: the values are free text, minus the comma "," and circumflex "^" characters.


Example: in a recent conversion, the library had used VIDEO, VIDEOS, and A/V for the same location. They settled on A/V, and placed VIDEO and VIDEOS into this Conversion Synonyms list. All holdings that contained VIDEO or VIDEOS automatically converted to A/V.


2.15.7 Field 7 Default Item Circulation Class:
35 characters, mandatory, tab stop


Purpose: To specify the Circulation Class that will appear as the default when an item is created and assigned to this location.


Format: It is a table selection.


Discussion: The default circulation class should be selected from the list of item circulation classes already established. The most common item circulation class for items in this location should be chosen. For example, items having the location name BOOK COLLECTION might have the default circulation class TWO WEEKS.


2.15.8 Field 8 Default Circulation Status:
35 characters, mandatory, tab stop


Purpose: To specify the Circulation Status (AVAILABLE, NON- CIRCULATING, etc.) that will appear as the default when an item is created and assigned to this location.


Format: It is a table selection.


Discussion: The default status should be selected from the list that is presented when the Help key is pressed. The most common status for items in this location should be selected. For example, items having the location description BOOK COLLECTION might have the default status AVAILABLE.


2.15.9 Field 9 Permit Holds:

Purpose: To enable the placing of holds for items in this location.


Format: It is a check box selection.


Menu Style: Radio Button/Check Box

Menu Values:
Permit Holds


2.15.10 Field 10 Location Flags:
multiple, tab stop


Purpose: To indicate if this location is part of the Serials Management or used for Reserves.


Cataloging functions [Import a MARC Bib File] and [Batch Control] check if a holding's location is flagged as part of Serials Management. If so, then that bib is initialized into Serials Management via function [Compare Holdings Call Nunmbers to Call Numbers Tags]. Furthermore, function [Item Creation] will not create items for these Serial bibs.


No function uses the Reseves flag yet.


Format: It is a check box selection.


Menu Style: Radio Button/Check Box

2.15.11 Field 11 Location Use:
mandatory, tab stop


Purpose: to specify if the location is still being used. If inactive, then the location cannot be selected for an item.

2.15.12 Field 12 Controls Ok, Cancel, & Help:
tab stop


Purpose: To specify an action that controls the window's flow. [Ok] will save and apply the displayed values, whereas [Cancel] will reject the changes. [Help] will display all of the documentation for the window. Press the Help key for context sensitive help for each field.


Format: It is an action that toggles the push button.
