2.12.1 Field 1 Function Keys
2.12.2 Field 2 Status Name:
45 characters, mandatory, tab stop
Purpose: To specify the Status name.
Format: Entry should be unique and is usually uppercase.
Discussion: The Status name should be a unique description of
this status. An example of a typical status would be 'AVAILABLE'.
2.12.3 Field 3 Status Staff Display Name:
9 characters, mandatory, tab stop
Purpose: To specify the Status Staff Display Name.
Format: The entry may not exceed nine characters.
Discussion: This is the status name that will appear on windows
typically used by the staff. This name should be familiar to the
staff and short (ten characters or less). It does not need to
match the Status Name or the Public Catalog Display Name.
2.12.4 Field 4 OPAC Display Name:
9 characters, mandatory, tab stop
Purpose: To specify the Status Public Catalog Display Name.
Format: The entry may not exceed nine characters.
Discussion: This is the status name that will appear on the
windows for all public access functions. The length of this name
should be ten characters or less. This name does not have to
match the Status Name or the Staff Display Name.
2.12.5 Field 5 Status is still in use:
mandatory, tab stop
Purpose: to specify if the status is still being used with items.
Menu Style: Radio Button/Check Box
Menu Values: Active Inactive
2.12.6 Field 6 Permit Holds? (Y/N):
1 character
Purpose: To specify whether items may be placed on hold for this
item.
Format: It is the character Y for Yes or the character N for No.
Discussion: An item may be placed on hold based upon whether
this field has a 'Y'. In general, only circulating items may be
placed on hold.
2.12.7 Field 7 Acquisitions Status?:
1 character
Purpose: To specify whether this is an Acquisitions status.
Format: It is the character Y for Yes or the character N for No.
Discussion: The Acquisitions statuses are those peculiar to an
item in the acquisitions subsystem, such as, 'On Order', or 'In
Process'.
2.12.8 Field 8 Allow Edits Out of This Status:

Purpose: To specify whether to allow edits out of this status.
Format: It is the character Y for Yes or the character N for No.
Discussion: Allowing edits out of the status named enables an
item record to be changed from the status named into another
status. For example, allowing edits out of the status 'AVAILABLE'
means that an item record that currently has a status of available
to another status. Typically, statuses that describe circulation
activities should not allow edits out of the status.
2.12.9 Field 9 Allow Edits Into This Status?:

Purpose: To specify whether to allow edits into this status.
Format: It is the character Y for Yes or the character N for No.
Discussion: Allowing edits into this particular status enables an
item record to be changed into the status named from another
status. For example, allowing edits into the status
'NON-CIRCULATING' means that an item record that currently has
some other status may be edited into the non-circulating status.
Generally, edits should not be allowed into statuses that
describe circulation activities, such as, ON LOAN, ON HOLD,
CLAIMED RETURNED, LOCATE, IN CONDITIONAL, or RECALL. Not
allowing edits for these statuses will enable better control
over borrowing activity.
2.12.10 Field 10 Allow function [Return Item]?:
1 character
Purpose: To specify whether an item with this status can be
processed via function [Return Item].
Format: It is the character Y for Yes or the character N for No.
Discussion: The return of an item is determined by its status.
Usually, items having a status that precludes loaning should
not be allowed to be returned. These statuses include: ON
HOLD, AVAILABLE, NON-CIRCULATING, DELETED, etc.,
and those describing the item as in the acquisitions sub-
system.
2.12.11 Field 11 Transaction at [Return Item]:

Purpose: To specify the transaction that should be logged when
the item is processed through function [Return Item].
Format: It is a table selection.
2.12.12 Field 12 Message at [Return Item]:
46 characters
Purpose: To specify the [Return Item] message.
Discussion: This is the message that displays on windows when an
item in the relevant status is returned. Since items having
statuses that ordinarily preclude circulation can be lent
on an override status, return messages should probably created
for each status.
Examples: Lost - LOST ITEM FOUND
Non-Circulating - ITEM DOES NOT CIRCULATE
Bindery Preparation - ITEM IS IN BINDERY PREP
2.12.13 Field 13 # of Days Until Status Changes:
3 characters
Purpose: To specify the number of days that should pass before the
status is automatically changed.
Format: Entry should be a positive integer.
Discussion: The number of days is usually a number reflecting a
period such as weeks or a month. For example, an item may be
placed on hold for 2 weeks and then revert back to Available if
it is not picked up yet.
2.12.14 Field 14 Change Status To:
30 characters
Purpose: To specify the status that this item should change to
after the specified number of days.
Format: Selection of the appropriate status from the associated table.
Discussion: A status may need to automatically be changed to a
new status after a specified period of time. This field allows
the entry of the status that should be the new status after the
specified number of days. For example, you may wish to change
the status of an item on hold to Available after a specified
number of days that the item was not picked up.
2.12.15 Field 15 Controls Ok, Cancel, & Help:
tab stop
Purpose: To specify an action that controls the window's flow.
[Ok] will save and apply the displayed values, whereas [Cancel]
will reject the changes. [Help] will display all of the
documentation for the window. Press the Help key for context
sensitive help for each field.
Format: It is an action that toggles the push button.
